Connect the bill to the right project.
Use the customer’s billing name and identify the job address. A customer might have several properties or a billing office somewhere else; “Project A — rear entry renovation” is more useful than “Construction work.”
Add the project reference or agreed milestone in the job title. Use the notes for a concise description of the period or phase covered. This generator is a general invoice tool, not a specialized construction payment application or lien document.
Separate labor from materials.
The editable fictional example includes eight hours of site preparation at $75 per hour and $400 of supplied materials. Labor is $600; materials are $400; the subtotal is $1,000. Tax starts unset.
For an actual invoice, replace “materials supplied” with a useful breakdown or clear reference to your agreed materials list. Use quantities and units that match the agreement. A fixed-price phase should be labeled as a flat fee, rather than invented hours.

Make scope changes traceable.
If agreed changes are being billed, identify them clearly. A line such as “Additional framing — approved change reference C-02” is easier to reconcile than quietly increasing the original quantity. Enter only actual work and agreed prices.
The invoice can include a project reference and notes, but it does not manage change approvals for you. Keep your source agreement and supporting records in your usual system.
Show deposits without obscuring the work.
If you received a $250 deposit against the $1,000 example, record $250 with its payment date. The original line items remain visible, and the balance is $750 before any entered tax or discount.
After publication, later payment entries update the current balance record only. Download the original version when you need to see the amounts shared at that time.
