THE QUICK ANSWER

An invoice is an itemized request for payment. It identifies the business, customer, work or products, amount due and payment terms. Creating or sharing an invoice does not record a payment.

A finished job deserves a clear invoice.

An invoice tells your customer what they are being charged for and how to pay. You might send one after a repair, at the end of a cleaning visit, or at an agreed project milestone. Use the timing you agreed with the customer.

For a small business, the invoice is also a useful record: a number you can refer to when a customer calls, a breakdown you can check later, and a starting point for tracking the amount still owed.

Estimate, invoice or receipt?

These documents describe different moments in a job. Keep their purpose clear so a customer knows whether you are proposing a price, asking for payment, or recording a payment.

An invoice, explained line by line.

This fictional plumbing example uses the same numbers as the editable template: a $75 service call, 1.5 hours at $100 per hour, and $45 in replacement parts. The total is $270. Tax starts unset, and there is no discount or recorded payment.

The business and customer names show who is billing whom. The invoice number makes the document easy to reference. Issue and due dates explain the timing; the job reference connects the bill to the work. Each row shows a description, quantity, unit, rate and calculated amount.

From line items to balance due.

Multiply each quantity by its rate, round the line amount to cents, and add the lines for the subtotal. Show an agreed discount explicitly. If tax applies to your work, enter the rate and select the taxable items; the tool does not choose a rate for you.

This generator allocates a discount proportionally across taxable and non-taxable amounts before calculating tax. Its preview and PDF use the same cent-based arithmetic. Check that this treatment fits your invoicing requirements.

A deposit or payment you record reduces the balance due. On the $270 example, recording a $100 deposit leaves $170. Recording a payment does not verify a bank transaction, and it does not change the values in an earlier published PDF.

What does a payment record confirm?

The generator shows payments you enter and subtracts them from the balance. Check each entry against your own records before including it.

The tool does not contact a bank or payment provider to verify settlement. Keep the original payment record from the method you used.

Share it in the way that works for you.

Download a PDF immediately or create a private link. Send via email opens a draft in your own email app. You can also copy the link or use your phone’s share sheet.

“Link ready” means the link exists. It does not mean an email was delivered. The customer download action can record an interaction; automated page fetches do not confirm reading.

Private links last 30 days and can be revoked. Anyone with an active link can view and download that invoice. Download a copy for your records.
