Start with what you agreed to do.
Before opening a blank invoice, gather the job description, customer name, agreed rates and any deposit already received. Separate the work from your notes about it. “Fixed sink” might make sense today, but “Replaced kitchen sink drain seal and tested for leaks” is clearer a month later.
Use the customer-facing business name and a contact method where they can ask questions. Add the billing or job address when it helps distinguish this job from another. You do not need a Social Security number, EIN or bank statement to use this generator.
Give the invoice a useful identity.
Choose an invoice number you can find again, such as INV-1042. Use a consistent sequence within your business and check your own records to avoid accidental duplicates. The generator lets you edit the number; it does not audit numbers in another system.
Set the issue date, due date and payment terms. “Net 14” means you are describing a payment deadline 14 days after the issue date. If you and the customer agreed on a specific date, use that date and make the written terms consistent.
Make each charge easy to check.
Our fictional plumbing invoice has three charges: one service call at $75, 1.5 hours of repair labor at $100 an hour, and one set of replacement parts at $45. The line amounts are $75, $150 and $45, for a $270 subtotal.
Use hours for hourly work, visits for repeat services, items for goods and flat fee for a fixed job price. Do not enter a time quantity when the agreement was actually a flat fee.

Check the amount, then the words.
Add an agreed discount separately so it remains visible. Tax starts unset. If appropriate, enter your rate and mark taxable items. Record any deposit with an amount and date so the balance is clear.
Read your job description, notes and payment instructions as if you were the customer. Then review the complete invoice. A professional layout cannot fix the wrong price, wrong customer or contradictory due date.

Downloading needs no account. Sharing creates a private link; the email action opens a draft in your email app. Keep the originating browser session to manage the link and download a copy for your records.
If a customer spots an error after publication, create a replacement. Do not silently change the existing published document. An accurate history is more useful than a single file that keeps changing.
